Thread / Task - How to create report

Hi all,

We utilise a thread for our review process that indicates different tasks such as:

  1. Conduct review meeting
  2. Update XPLAN and conduct research
  3. Lodge paraplanning request
  4. Complete SOA
  5. Finalise and send SOA

I would like to understand if there is a report in EXCEL format that I can run to show the timeframe between each tasks (e.g. How long does it take for the paraplanning request to be submitted after the review meeting, or how long does it take for the SOA to be completed from the time the paraplanning request is lodged).

If at all possible, can this report be automatically generated and emailed?

    Wow, what great ideas you have shared!

    The easiest way to get this report is exactly how Margaux has explained, use a Xport report and automate it via scheduler to run periodically.

    I would add to this, that you can refine the schedule by adding a search criteria step before the Xport merge to define the list of clients and to weed out the "noise" or "junk". You dont need a report running through every single client in the database, this would slow it down or possibly even stop the process if it runs into trouble.

    Another idea would to be also add a delivery step or "notification" so that the report gets automatically emailed to one or more users/recipients. This would save you from having to remember to login and retrieve the report.

    Finally, if you want to get even fancier, you could potentially have a coded excel spreadsheet template that has the formulas you are looking for to automate the days taken to complete a task. Replace the Xport with this template, it might save you a little more time.

      Are you able to direct me to where I can find out more how I can code a template for Xport? 

      I am keen to look into this, if it’s not too difficult!

        There are some great instructions on Xmerge Entity Lists in the Iress Community. Just remember this type of Xmerge template needs to be set in the system as an Entity List so that you get information across a number of clients in the one output.

        Xmerge coding can be a bit daunting if you aren't familiar with it, so if there are specific questions that you have for your report you can ask the Technical Services team (the "Xmerge Xperts") by lodging a request in the Iress Connect portal, selecting the Xmerge Connect tile.

  • This would be great if we would have time spent pre-calculated. At the moment, we have a task report that gets the difference between the date/time activated and the date/time completed for each tasks (less the weekend). But we would still have to manually adjust it occasionally to take into account holidays. So if we can have a holidays table as well loaded into Xplan, that would be great! 🙂

      Hi Margaux - thanks for sharing. Can I ask if this is a report you have created yourself or this is something that can be generated from XPLAN?

        Hi Sandy 😊 It is something that we have developed, but the main data used is an Xport using the task fields. You may need to set it up first, but you can schedule it to generate every week or month depending on your business needs.
