Multiple email signature

Hi Team,

Not sure if someone has asked this before, but is there a way to set up multiple signatures in Xplan? We've started to trial users with hybrid roles, and we realised that it can get quite tricky when the user would need to send out an email as only one signature template/setting can be saved at a time. I understand that we can either use a primary User Group Signature or a personalised one, but is there a way to seamless switch between the two options when in email mode (without having to change the user settings every time)?

    We have been wanting the same thing as we operate with two entities/brands with the same support staff and need to be able to switch from one to the other depending on the client. At this stage we have both sign off's loaded in the one signature profile and just delete what is not appropriate. This is problematic when you forget 🤭

    We would be keen to have a multiple signature option that we could toggle.

  • Hi margaux.bugante​  & kim.taylor​ , there are a couple of ways you could condition which signature  appears for a particular user - I've listed a few ideas below. 

    In both use cases it may be possible to add conditional coding to the signature to determine which one is used.

    margaux.bugante​ , when you say hybrid roles - do you mean across different businesses or just different roles in the same business? (e.g. paraplanner and CSM?) For the latter, it may be as simple as updating a user's job title to include both roles (Paraplanner and Client Services Manager)

    Here are a few ways you may be able to manage multiple signatures:

    • Recipient User Group: If recipients are primarily associated with a single user group, you could implement logic that applies a specific signature based on that group. For example, "if recipient user group is 'X', use Signature A; otherwise, use Signature B."
    • Client's Adviser: Base the signature on the client's assigned adviser. This means "if the client's adviser is in user group 'Y', use Signature C; otherwise, use Signature D."
    • "Override From Address" with Dynamic Roles: Leverage the "Override From Address" function. If branding is tied to the client's adviser, you can override the sender's address with the adviser's email. You could also add a line like "Courtney Youngblutt on behalf of" above the adviser's signature. Code the adviser's signature using dynamic fields (e.g., <:=$sender.first_name:> <:=$sender.last_name:>) to automatically pull their details when the override is applied.

    If these suggestions don't quite fit your situation, please provide more details on why, and I can think about possible other solutions.

     I've also shared your feedback with our product team regarding the ability to easily switch between email signatures, as I understand my current suggestions might not be ideal for complex use cases.

     

     

  • Thanks courtney.youngblutt​ for this. Yes, we have one user who is doing two roles at the meantime while one of our other staff is on leave. The issue is that one role is a non-advice role (and there is a disclaimer on the signature saying that the email is information only), while the other role has a scope of limited advice (and a disclaimer that he is a nominated representative on behalf of our company).

      Hey margaux.bugante​, definitely a tricky one! 

      One option could be to use the "Override by Adviser" (which would pull through the  full signature of the adviser listed against the client (adviser name included) and  then manually adding in a line that says “Courtney Y on behalf of….” before you send the email.

      Or, maybe, you could remove the site/group/personal signature all together for that user and instead use 2 email templates. One email template coded with the signature for role one and another email template coded with use the signature needed for role two. Then the user can choose which email template to use. (This doesn’t work for automated emails, obviously).
